Invoice #1042 · Northlane Design

Your accounting software sees

$4,250.00 · 8 days overdue

→ sends the overdue notice on schedule

DueDrop also sees

“Hey — sorry for the delay, AP should have this processed Friday.”

→ pauses. Says nothing until Friday passes.

Same invoice. One of them is about to annoy a good client.

A due date isn't the whole conversation.

Your accounting software knows one thing about that invoice: it's late. It doesn't know the client emailed you on Tuesday. It doesn't know they queried a line item, or that you agreed to split the payment, or that they're a repeat customer you'd rather not irritate over eight days.

So it sends the same notice it would send to anyone. And you end up writing “sorry, please ignore that automatic reminder.”

DueDrop reads the invoice and the thread before it writes a word.

Nothing to write. Not even once.

Every other invoice-chasing tool begins by asking you to write reminder templates — a polite one, a firmer one, a final one — in a voice that's meant to sound like you. Then it sends those same words to every client forever.

The usual way

  • Write three templates before you can start
  • Insert placeholders like {{client_name}}
  • Every client gets identical wording
  • Keeps sending until payment arrives
  • You maintain the templates forever

DueDrop

  • No templates. Connect and go.
  • Each reminder written from that client's real thread
  • Matches how you actually write to them
  • Stops the moment they reply
  • Nothing to maintain

Your inbox. Your signature. Their reply comes back to you.

The reminder leaves your connected Gmail, Outlook, Yahoo or Zoho account, from your address, with your signature. It appears in your Sent folder. There's no “sent via” footer and no separate billing domain. When your client hits reply, the conversation continues where it always did — in your mailbox, not a dashboard you have to remember to check.

Automation that knows when to stop.

The reason people distrust automated reminders isn't that they're automated. It's that they keep going after the situation has changed.

DueDrop watches for a reply on the thread, not just a payment on the invoice. The second your client responds — a promise to pay, a question, a dispute — the cadence for that invoice pauses and hands the conversation back to you.

Nothing has to send automatically.

Handing an AI your client relationships is a reasonable thing to be cautious about. So DueDrop starts in review mode: it prepares the draft and waits. You read it, edit it if you want, and press send — or don't.

Once you've seen enough drafts to trust how it writes, you can switch specific clients to automatic. Most people start with the ones they're least precious about and work up. It's per-client, not all-or-nothing.

Already using your accounting software's reminders?

Then you may not need this. QuickBooks, Xero, FreshBooks and Wave all include automatic reminders, you can customise the wording, and they're already part of what you pay for. If a single standard message on a fixed schedule is getting your invoices paid, that's a good outcome and you should keep it.

DueDrop is for the invoices where that isn't enough — the client you have an actual relationship with, where the wording matters and a generic notice costs you something.

One plan. No tiers.

Reasonable questions.

Why wouldn't I just use the reminders built into QuickBooks or Xero? +

If they're working for you, keep them — they're included in what you already pay for. The built-in reminders send one message you wrote in advance, to everyone, on a fixed schedule. DueDrop is for the follow-up you still end up doing yourself: the client you've been emailing back and forth with, the one who said they'd pay Friday, the one where the wording matters because you want to work with them again.

Do I have to write the reminder templates? +

No — and this is the main difference between DueDrop and every other invoice-chasing tool. There are no templates to write. DueDrop reads the email thread you've already had with that specific client and drafts that client's reminder from scratch, in the way you normally write to them.

What happens if the client replies? +

The reminder cadence for that invoice stops automatically. Their reply lands in your inbox like any other email, because the conversation is happening in your actual mailbox. Nothing else goes out until you decide.

Will anything send without me seeing it first? +

Not unless you turn that on. DueDrop starts in review mode: it prepares the draft and waits for your approval. Once you're comfortable with how it writes, you can enable automatic sending — per client, not all-or-nothing.

What access does DueDrop need, and why? +

Two connections, both OAuth — we never see a password. From your accounting software we read invoices, due dates, payment status and client contact details; the connection is read-only and we never modify your records. From your mailbox we need to read the prior thread with each invoiced client (that's what the drafts are based on) and to send on your behalf. You can revoke either connection at any time from your account or directly from Google or Microsoft, and we delete your data when you cancel.

What does it cost? +

$49/month, flat. No seat counts, no invoice limits, no upsell tier. The trial is 14 days and doesn't ask for a card.

Connect it once. See the first draft in five minutes.

Link your accounting software and your inbox, pick an unpaid invoice, and read what DueDrop would send. If it doesn't sound like you, don't send it.
